Self Auditorium (STI 101) Facility Use Policy

General Information and Rates

Clemson University Libraries are managing bookings for the Self Auditorium (STI 101). The auditorium has a seating capacity of 275, which includes 10 wheelchair accessible locations at the back. During the academic year (fall/spring) Self Auditorium is booked solely for classes and exams during regular business hours (M-F 8:00am – 5:00pm) and may only be used for events outside of these days/hours. The departmental rental rate is $100 per hour which includes a contract security officer. Student organization rental rate is $25 per hour.  Departments and organizations are charged one hour for opening and closing the site in addition to the actual event start and end time. Only University departments or approved student organizations may rent the space. Additional approvals are required for groups larger than 50 and may involve additional security or security measures at a cost to the client.

Reservation Procedure

The responsible party must complete the reservation request form. University departments or student organizations will pay using the Clemson University Marketplace upon receipt of an invoice from the event coordinator. A minimum of 2 weeks’ notice is required for events and last-minute requests may not be honored. A request will be considered tentative until this form is submitted, and you receive an email confirmation notice.

Confirmation and Cancellation

A reservation eliminates other groups from using the facility and penalties will be enforced for groups who do not respect the system. A minimum of 72 hours is required to cancel a reservation without penalty. Customers who fail to show up for their reservation will be charged a $100 “no show” fee and risk losing future reservation privileges. When a date has been reserved and is no longer needed, please send notification .

Equipment Needs

A projector, screen and podium are provided. The podium includes a fixed microphone as well as hand-held and lapel mics. All other equipment must be provided by the reservation holder. Check with your departmental IT provider or contract out for additional equipment or services. All outside vendors providing equipment must coordinate with CU Libraries for any delivery needs.

Security Requirements

A security officer will be present to unlock and lock doors and secure the area. All guests must adhere to the guidelines provided by the security officer on site.

Parking

Strom Thurmond Institute has limited metered parking for visitors and event coordinators should review their parking needs as part of their event planning. Contact Clemson University Parking and Transportation Services to request parking for your event. The online request should be submitted at least ten (10) days prior to the event. Failure to do this may result in your attendees receiving a parking citation.

Marketing

If you have a marketing plan and would like to share it for potential social media or library blog posts, please include information with the form. Fliers, posters and other types of advertising are not to be displayed on the windows, doors and walls.

Catering

Contact Aramark Catering at (864)656-1024 for any food or beverage needs. Vending machines are available in the lobby. Food and beverages are only permitted in the lobby area.

Damages

All groups will be charged for damages to the facility which occur during their reservation and for cleanup which exceeds normal use.
